Position Overview:

The successful candidate will possess a strong business background and acumen to provide critical support, planning, and assistance to our most senior executive. The successful candidate requires exceptional time management skills, strong analytical abilities, and the ability to navigate complex tasks and prioritize efficiently. The role requires seamless communication between the CEO and Executive Staff.

Key Responsibilities:

  • Provide comprehensive support to the CEO including, interpreting organizational data, coordinating with departments, and providing analysis.
  • Assist in project milestones, while informing the CEO of key tasks, deadlines and deliverables.
  • Oversee the administrative group that manages the CEO's and Executives Staff's travel logistics, including visa processes, passport management, flights, and accommodations.
  • Draft and proof business correspondence, presentations (Visio, PowerPoint), and meeting minutes, with strict attention to detail, while accurately relaying the CEO's desired tone to achieve intended purposes.
  • Gathering and analyzing departmental data and connecting to organizational goals.
  • Leveraging technology for process improvements.
  • Track and follow up on business metrics and deliverables to ensure timely execution.
  • Be politically and socially astute, capable of navigating high-level communications both internally and externally.
  • Provide support for mergers, acquisitions, and corporate structuring processes when required.
  • Take initiative while maintaining a focus on cost-conscious decisions and budget considerations.

Qualifications:

  • Bachelor's degree in business or MBA.
  • 3-5 years of experience in business, with a preference for candidates with a background in mergers and acquisitions or corporate structure/legal environments.
  • Experience working in a results-orientated, competitive and high-performance culture.
  • Entrepreneurial mindset and a hands-on approach to problem-solving.
  • Extremely strong writing, communication, and organizational skills.
  • Proficient in Visio, PowerPoint, and other presentation software.
  • Ability to internationally travel for up to three weeks at a time.
  • Excellent time management and the ability to handle multiple tasks with a focus on follow-up and completion.
  • Ability to support a high-demand role, recognizing that the position requires more than a standard 8 AM to 5 PM schedule.
  • Highly detail-oriented, accurate, and articulate.
  • A team player with strong interpersonal skills and an assertive enough attitude to manage follow-ups and deadlines with senior personnel.
  • Politically savvy and socially aware.
  • Willingness to operate with minimal supervision
  • Multilingual: Fully fluent in English with proficiency in one or more of the following languages is an asset: French, Spanish, or Arabic.
  • Experience in entrepreneurial, grassroots family businesses, and manufacturing environments is an asset.
