The Service Coordinator is the primary administrator at the property level ensuring that all maintenance requests are completed on a timely basis. This part-time position will appeal to a responsible individual who enjoys managing changing priorities and interacting with staff, residents and contractors.

RESPONSIBILITIES

Customer Service

  • Liaise with residents, community managers and property manager to manage service expectations and create a sense of superior service to the residents.
  • Practice excellent resident relations through working collaboratively with other team members to ensure resident concerns regarding maintenance are dealt with in a timely and professional manner.
  • Conduct daily follow-ups with residents by phone, emails, in person; building attendant, team members and vendors.
  • Help organize community events such as monthly Meet & Greet events for new residents.

Operations

  • Regularly collect work order requests from the resident portal, emails, in-person and any other source of resident-driven maintenance.
  • Review incoming work requests, preventive maintenance schedules, prioritize work orders and assign them to the staff.
  • Issue notices to enter and/or liaise with the residents to ensure that permission to enter suites has been secured prior to assigning the work order. Ensure work orders are detailed and provide the maintenance team of any special requirements of the resident.
  • Monitor the results of the work order service in Yardi. Communicate with residents regarding on-going work schedules. Follow up with the building attendant if required.
  • Contact suppliers and contractors, order supplies and coordinate service schedules. Issue purchase orders; be ready to accurately receive services and goods in the Yardi purchase order system.
  • Review inspections reports, create make-ready work requests and coordinate contractors and\or staff to ensure suites are market ready.
  • Perform incoming and outgoing in-suite inspections and repairs to ensure resident satisfaction and external contractors are compliant to work order requests.
  • Coordinate all move-outs\ move-ins tasks (elevator bookings, set appointments with residents for key release\ key return, parking, lockers, welcome package, etc.
  • Send resident information to concierges\doormen or to create appropriate keys / fobs; ensure that keys and fobs are in working order prior to issuing to leasing for new residents.
  • Other related duties as required from time to time

QUALIFICATIONS

  • High school diploma and a strong service ethic commitment.
  • Minimum of 1 year experience in the customer service industry, retails, hotels, including solid experience in managing high volume of requests and tight deadlines.
  • Able to communicate effectively and professionally
  • Able to develop and sustain cooperative working relationships with team members, residents and vendors; self- motivated

  • Ability to handle multiple demands and competing priorities; results oriented, detail oriented and accurate.
  • Proficient in a variety of computer software packages including Microsoft Office, and property management, with preference given to Yardi experience.
  • Bilingual - French and English
